OFFICE MANAGER

(NO Electrician License Required)

Job Description: As the Office Manager for Bickimer Electric, you willmaintain office services by organizing officeoperations and procedures, controlling correspondence, design filing systems, approve supply requisitions andassist intasksto aid in starting and completing a job.

Core Responsibilities:

  1. New Construction Manager
    • Operational
      • Create estimates
      • Create Sales Invoices
      • Generate and Send Contractor Statements
      • Up-date Monthly Progress Billing
      • File for permits
    • Contact for Contractors of New Construction Work
      • Communicate with New Construction Superintendents
    • Manage New Construction Electrician Schedules
      • Coordinate with Superintendents and through Buildtrend or Other such programs
      • Coordinate with Bickimer Electric Dispatcher: may have to pull some New ConstructionElectrician to use for Service Calls from time to time.
    • Job Costing Reports and Budgeting
      • Need to make sure our efforts are profitable
      • Compare the material cost and employee cost to contractor payouts
      • Review late payments (A/R Aging Report) and send out new invoices
      • Find ways to save money
        • Example: Helpcreate systems to better inventory warehouse and trucks
    • Inventory Management
      • Order New Construction Job Supplies
      • Keep track of Job Receipts
      • Make sure getting the best deals for supplies from our Vendors
    • Quality Control
      • Make sure all invoices are sent out daily
      • Make sure New Construction Electricians are updating HouseCall Pro every day with Notes,Pictures, etc.
      • Make sure the correct tags are assigned to each job (tags are categories we can give bywhich to run reports)
        • Three Types of Job: New Construction, Service Calls, or Remodels
        • Two Areas of Work: Residential or Commerical
    • Dealing with correspondence, complaints, and questions
  2. Liaison to Vendor In General:
    • Communicate with Vendors to order supplies and know their
      • Payment Terms
      • Payment Schedules
      • BestPayment Methods
      • Paying Vendor Bills if necessary
  3. Help with Onboarding New Employees
    • Pass our Keys to Office/Warehouse/Truck
    • Help New Hire complete Employee Navigator
      • Review Policies and Procedures
      • Scan and upload paperwork or forward to HR
    • Orient toHouseCall Pro
  4. Manage/Supervise/Monitor Dispatcher and Office Help
    • Quality Control: oversee duties are being carried out daily
      • Make sure Service Call Electricians are being scheduled efficiently
      • Make sure someone answers the Bickimer Electric phone and notletting calls go tovoicemail unnecessarily
      • Make sure Truck Maintenance is being reviewed and scheduled
      • Make sure End of Month Receipts are being collected and reconciled
      • Make sure HouseCall Pro documentation is correct
      • Cross Train: be able to assume theposition when the dispatcher is on leave or absent
  5. Assist HR
    • Supervise and Monitor all employees
    • Manage (Revise and Verify) Time Clocks for All Office and Field Employees
  6. Enforce Bickimer Electric Policies and Procedures
    • Make sure Vehicle Logs being completed by Dispatcher and All Electrician
    • Enforce Work Safety Logs and Policies•Health Safety Logs
  7. Bonus Logs
    • Manage Bonus Spreadsheet
    • Make sure google reviews are being responded too
  8. Ordering Operational and Office Supplies
    • First Aid Kits
    • Boot Covers
    • OfficeSupplies
    • Job supplies
    • Job tools
    • Job rental equipment like cranes, diggers, etc
  9. OrganizeMeetings
  10. Manager Databases/Folders/Files/Etc
    • Receipts
    • Vendors
    • Customers
    • Contractors
  11. Preparing Letters, Presentations, and Reports
    • Job Costing Reports
    • Up-date MonthlyProgress Billing
    • Work on the Flat-Rate Pricing List
  12. Accounts Receivables and Budetgting: Contractor andVendorManagement
    • Make sure all invoices are sent out

  13. Assist AccountingAs Needed

Downtime duties

  1. Assist with Marketing and Advertisinga. Cold callingb. Generate leads-call realtors, etcc. Find ways to save moneyd. Find ways to generate money
    e. Find ways to organize

Report to:  The Office Manager will report directly to the owner’s Melissa and Michael Bickimer.

JOB REQUIREMENTS

As an OFFICE MANAGER with Bickimer Electric, you must meet the following:

  • Must have minimum High School Diploma/GED
  • Have experience as an Office Manager.
  • Looking for Basic knowledge of electrical and constructionterminology
  • Must be computer literate and able to process documents in Microsoft Word, Excel, Access, PowerPoint, andOutlook,as well as be able to quickly learn the Company’s cost scheduling software.
  • Ability to make frequent contact with personnel inside and outside the Company.Must communicate withprofessionalism, tact, discretion, confidentiality, self-expression, and must have well-developed interpersonal,planning,and organizational skills.
    • Must have strong written and verbal communicationskills in English. Be able to explain the technicalsolution in a non-technical way.
    • Must have superior customer service skills. Be able to establish rapport and a bond withall customersis paramount.
  • Capable of lifting, carrying, and pushing a minimum of25pounds without assistance
  • Ability to bend, climb, squat, reach, and kneel
  • Excellent hand-eye coordination
  • Never be intoxicated or under the influence of any mind-alteringsubstance while on the clock
  • Must be able to work well on a team
  • Must possess a valid driver’s license with a clean driving record and reliable transportation to arrive atWearhouse daily
  • Must be willing to work a routine schedule during the weekdays–Monday to Friday 8 am to 430 pm–overtimerare
  • Must maintain yourprofessionalappearanceand manours.
