Role Summary
The RNC Project Coordinator Supervisor runs the project coordinator team across locations and owns the job setup process end to end. This role makes sure files, portals, permits, and schedules are handled the same way at every branch so the field is never held up by a paperwork gap.
This role reports to the RNC HVAC Director of Construction and is the escalation point for the coordinators on builder portal, permit, and inspection issues.
1. Team Leadership
- Set clear expectations for the project coordinators and follow up consistently.
- Assign and balance coordinator workloads across locations so no branch falls behind.
- Own performance reviews for the coordinator team as defined by policy.
- Recommend persons to be hired, disciplined, discharged, or promoted.
- Train new coordinators on file setup, portals, permits, and ServiceTitan.
2. Process Ownership and Standards
- Set and enforce a consistent job setup process across all branches.
- Confirm files, layouts, and permits are in place before jobs reach the field.
- Serve as the escalation point for builder portal, permit, and inspection issues the coordinators cannot resolve.
3. ServiceTitan and Data Integrity
- Keep ServiceTitan job files accurate and complete across the team.
- Review daily job and batch routing to accounting for accuracy and timeliness.
- Confirm escrow accounts and credit card logs are maintained correctly across locations.
4. Builder and Field Coordination
- Handle escalated builder relationships and keep field leadership informed.
- Work with field supervisors so schedules and job readiness stay aligned.
- Report setup issues and trends to the Director of Construction.

- Performance reviews are completed on time and follow-up is consistent.
2. Process Consistency
- Job setup is handled the same way at every branch.
- Files, layouts, and permits are confirmed before jobs reach the field.
- Escalations are resolved without holding up production.
3. Records and Reporting
- ServiceTitan job files are accurate and complete across the team.
- Daily routing to accounting is accurate and on schedule.
- Setup issues and trends are reported to the Director of Construction.
4. Adherence to Company Policy
- Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
- Ensure regular and reliable attendance.
- Ensure compliance with all company policies and procedures.
5. Contribute to Other Organizational Duties (as needed)
- Responsible for special projects as requested by management and other duties/responsibilities as assigned to meet the ongoing needs of the organization.
- High school diploma or equivalent required; associate or bachelor’s degree preferred. Any combination of education, training, and experience that demonstrates the ability to perform the duties of the position may be considered.
- Three or more years of administrative or coordination experience, with at least one year leading or supervising others preferred.
- Experience pulling permits and scheduling inspections and jobs required.
- Previous experience in the new construction industry preferred.
- Computer literate with working knowledge of Microsoft Office (Word, Excel, PowerPoint) and ServiceTitan or a similar system.
- Outstanding communication and customer service skills.
- Ability to speak Spanish preferred but not required.
- Eligible to legally work in the United States; must be at least 18 years of age.
- Must successfully complete a background check and drug screen.
- Ability to thrive in a team environment.
